Administrators can define alerts for the many events that take place during typical MentorNet use.
Administrator Alerts
The following user registration alerts can reduce the time administrators previously spent sending welcome emails to new users. The system can now automatically send a new user their login details and a programme-specific welcome message:
• | New Profile Created by Administrator – email gets sent to new user as soon as the administrator creates the user |
• | New User Registered (email gets sent to new user after they request an account through the self-registration process) |
• | New User Registration Approved (email gets sent to new user once the administrator has approved the self-registration request) |
User Alerts
The following alerts are sent to users according to their notification settings, so users can control when they receive alerts. Most of the system activity alerts can be configured either as immediate alerts or daily/weekly digest summaries.
All these alerts can be configured with whatever text is appropriate to your mentoring programme and organisation, and the alerts can contain ‘mailmerge’ text to refer to organisation-specific text like admin email address, organisation name and direct links to message content and forum post URLs.
All these alerts can be used to prompt users about system activity and to help administrators remind users of activity and to encourage engagement with the system.
Mentor Matching:
• | New Mentor Assigned (email sent to mentee giving details of his/her mentor) |
• | New Mentee Assigned (email sent to mentor giving details of his/her mentee) |
• | Mentor Request Rejected (email sent when a mentor/administrator rejects a matching request made by a mentee) |
System Activity:
• | New Private Message – alert when you receive a new message |
• | New News Item – alert when a new news item is published |
• | New Resource – alert when a new resource is published |
• | New Forum Post – alert when someone posts to a forum thread you have subscribed to |
• | Activity Reminder – Reminder to mentor that they have not created an activity log for their mentee within a specified time period (see later in this document) |
Customising Alerts
Administrators may want to customise the types of alerts that users can access and configure. For example, you may want to:
• | Turn off a particular alert for all users. |
• | Change the template text that is contained in an email alert. |
