Setting Activity Log Reminders

If you expect your mentors and mentees to make contact on a regular basis and therefore to fill out Activity Logs on a regular basis, it can be time consuming for coordinators to check who has filled out the Activity Logs and to chase those who haven’t.

 

It is now possible to set up reminders so that mentors are emailed if they have not created an Activity Log within a specified time period. For example, it may be that you expect your mentors to meet their mentees every four weeks, and you expect them submit their Activity Log within one week of the meeting. In this case, you would set the reminder period to five weeks, so that the mentor is emailed a reminder five weeks after their most recent Activity Log entry.

 

You can also set repeat alerts, so that the mentor is emailed again regularly after the first reminder (e.g. every x days) until the Activity Log has been submitted. These settings can be global or mentor-specific.

 

This further reduces the amount of follow-up an administrator has to do to ensure proper records are being maintained of the mentoring relationship.
